Position Summary
The Human Resources and Faculty Affairs Operations Manager position performs professional-level work in human resources, faculty affairs, payroll, position management, and research administration for Grady College. The role serves as a college-level resource for faculty and staff hiring, position management, payroll coordination, grants administration, direct appointments, retire-rehire processes, teleworking arrangements, out-of-state work agreements, and related HR operations.
Responsibilities include supporting recruitment and hiring processes; preparing and reviewing position descriptions, offer letters, contracts, letters of agreement, direct appointment materials, and other employment documents; coordinating onboarding and exiting processes; maintaining accurate personnel and payroll records; and assisting with HR, payroll, budget, faculty affairs, and grants-related projects.
The position works closely with Grady faculty, staff, department heads, principal investigators, the Business Office, central HR, Faculty Affairs, Sponsored Projects Administration, and other campus partners to ensure timely, accurate, and compliant processing in accordance with university policies, sponsor requirements, and college procedures.

Human Resources, Payroll, and Faculty Affairs
- Performs human resources, payroll, and faculty affairs functions for staff, faculty, part-time instructors, and temporary employees.
- Manages HR position processes, including creating, modifying, posting, and evaluating staff and faculty positions.
- Supports recruitment, hiring documentation, employment paperwork, onboarding, and exiting processes.
- Prepares and coordinates position descriptions, offer letters, contracts, letters of agreement, direct appointments, dual appointments, relocation payments, and related employment documents.
- Manages monthly payroll review, reconciliations, Express Direct Retros, salary changes, terminations, payroll corrections, and other payroll-related actions.
- Oversees summer school payroll, faculty effort worksheets, and PI salary coordination.
- Serves as Faculty Affairs Liaison for part-time appointments, faculty rank appointments, promotion and tenure documentation, contracts, retire-rehire requests, and related faculty personnel actions.
- Coordinates teleworking agreements, out-of-state work agreements, immigration-related matters, OGE liaison duties, and other non-standard employment actions.
- Maintains accurate personnel, payroll, and faculty affairs records in accordance with university requirements.
- Assists with staffing plans, personnel procedures, and HR/faculty affairs process improvements.

Grants and Research Administration
- Supports faculty and principal investigators with proposal development, submission, award monitoring, and research administration processes.
- Assists with proposal preparation, including budgets, narratives, sponsor forms, formatting, and compliance with sponsor requirements.
- Serves as a liaison between faculty, principal investigators, department heads, funding agencies, Sponsored Projects Administration, and other central offices.
- Coordinates proposal submissions, IRB -related requirements, and resolution of proposal or award-related questions.
- Provides ongoing faculty and PI support through meetings, award reviews, reconciliations, IDC reporting, and regular communication.
- Researches and distributes funding opportunities, supports proposal planning, and prepares grants-related communications.
- Reviews and analyzes grants, payroll, IDC , and financial data for reporting, planning, and assigned projects.

Business Office Operations and College Support
- Supports college-level business operations, financial processes, reporting, and administrative projects.
- Meets regularly with the Financial Director and Business Office team to support coordination, planning, and issue resolution.
- Serves as backup for bi-weekly payroll processes.
- Serves as a P-Card holder for approved purchases and ensures compliance with university purchasing procedures.
- Attends required trainings, seminars, and meetings to remain current on university policies, procedures, and systems.
