Description
Overall Purpose:
Reporting to the Business Development Specialist, this position works closely with the Chief Marketing Officer, attorneys, and administrative departments. This position assists with the planning and execution of firm marketing initiatives, client events, sponsorships, business development activities, and communications on a variety of marketing, client development, recruiting, and firmwide projects. This is a full-time, in-person position based in the firm's Newport Beach office. Occasional local travel and evening event attendance may be required.
Essential Job Duties, include but are not limited to:
- Assist with the planning and execution of client events, webinars, receptions, sponsorships, attorney dinners, annual attorney retreats, and other business development activities, including researching venues, coordinating with vendors, preparing materials, managing registrations, and providing on-site event support.
- Coordinate assigned firm sponsorships and event participation by communicating with sponsoring organizations, tracking deadlines and sponsorship benefits, processing invoices, preparing advertisements, submitting attendee information, coordinating firm tables, and managing attorney attendance.
- Prepare, format, and distribute marketing communications, including electronic invitations, client alerts, newsletters, announcements, event communications, and other internal and external correspondence.
- Maintain and update contact information, mailing lists, event lists, and marketing data within the firm's Customer Relationship Management (CRM) system and other marketing platforms to ensure data integrity.
- Assist with the preparation of client pitches, Request for Proposal (RFPs) responses, proposals, presentations, and other business development materials by updating attorney biographies, practice descriptions, representative matters, deal lists, and other marketing collateral.
- Coordinate attorney photography sessions and maintain headshots and other marketing assets.
- Coordinate with outside graphic designers, printers, photographers, promotional vendors, and other service providers to produce marketing materials and support creative projects.
- Order, maintain, and distribute promotional merchandise/swag for firm events, sponsorships, and business development activities.
- Coordinate the firm's holiday gift program and other client, prospect, and referral source gifting initiatives.
- Assist with lateral attorney and summer associate recruiting efforts by coordinating interview schedules and supporting related recruiting activities.
- Support marketing technology and operations initiatives, including assisting with email marketing platforms, CRM systems, the experience database, website content management, reporting, analytics, and other departmental technology projects.
- Process invoices, prepare expense reports, reconcile departmental credit card statements and expenses, and maintain accurate financial records.
- Provide administrative support to the Business Development and Marketing team, including scheduling meetings, preparing meeting materials, maintaining department files, and responding to routine inquiries.
- Perform other duties and special projects as assigned.
Requirements
Qualifications/Requirements:
- Bachelor's degree required.
- One to two years of experience in marketing, business development, communications, event planning, or a related field preferred.
- Prior law firm or professional services experience is preferred.
- Strong organizational skills with the ability to manage multiple projects and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.

- Strong interpersonal skills with the ability to work collaboratively with attorneys, staff, vendors, and clients.

- Ability to work overtime and occasional evenings as needed to support client events, attorney functions, firm-sponsored activities, and other business development initiatives.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience with CRM systems, email marketing platforms, website content management systems, or event management software is preferred.
- Ability to learn new software, marketing technologies, and database systems.
Physical Demand: - Ability to lift up to 10 pounds. Ability to stand for long periods of time at events.
