The Faculty Advising & Academic Support Staff Manager holds a critical role within the MD Program Student Affairs team. Based on the Charlotte campus, this role reports directly to the Associate Director of Student Affairs and supports the Associate Deans of Student Affairs and faculty-level leaders on both campuses in the administration of the MD Program's faculty advising program and academic supports. This role will coordinate with location specific representatives including the Associate/Assistant Dean(s) of Student Affairs, Associate/Assistant Dean(s) of Curricular Affairs, and other faculty and staff to support the UME program's strategic goals for effectiveness and advancement. The candidate will be a team player focused on using qualitative and quantitative data for the greater good of the Wake Forest University School of Medicine - Undergraduate Medical Education (UME) students.
This role supervises two advising and academic support staff and oversees all student advising initiatives at both the Charlotte and Winston Salem campuses, promoting an effective learning environment for MD students. The Manager collaborates with faculty, students, and the Student Affairs team to support student achievement and professional development during medical education.
EDUCATION/EXPERIENCE:
Required Qualifications:
- Master's degree in Higher Education, Counseling, Student Affairs, or a closely related discipline.
- Minimum of three years' experience in academic advising, student support, or program management, ideally within medical education or health sciences settings.
- Three to five years of supervisory or management experience.
- Foundational knowledge of student development theory and best practices in academic advising.
- Familiarity with LCME accreditation standards pertaining to student affairs and advising.
- Exceptional interpersonal, written, and verbal communication skills, as well as strong presentation abilities.
- Proven effectiveness working with diverse populations of students, faculty, and staff.
- High attention to detail paired with advanced organizational, analytical, and problem-solving capabilities
- Proven ability to manage complex projects and meet deadlines; experience in higher education or healthcare education preferred.
- Proficiency in Microsoft Office Suite and experience with student information systems and learning management platforms (such as Canvas).
Preferred Qualifications:
- Experience in an MD program, particularly within a multi-campus institution.
- Understanding of career advising and academic support for health professions students.
- Expertise in program assessment and evaluation.
Work Environment:
The position is primarily office-based at the Charlotte Medical School campus. Occasional travel between the Charlotte and Winston-Salem campuses will be necessary. Some evening or weekend work will be required to support student events or program-related needs.
ESSENTIAL FUNCTIONS:
- Oversee daily operations and initiatives for MD program faculty advising and academic support, collaborating with Associate Deans of Student Affairs across both campuses.
- Coordinate and evaluate advising activities, train faculty, and maintain effective advising programs.
- Support longitudinal advising and student support strategies, participate in committees, and represent Student Affairs at meetings and conferences.
- Liaise with Center for Professional and Personal Development (CPPD) leadership and coaches to ensure consistent student support.
- Manage EAB platform access and information across campuses, ensuring compliance with LCME standards.
- Direct longitudinal advising programs, assist Faculty Advisors, and manage data for reporting and operational initiatives.
- Plan and organize career and academic advising events, workshops, and maintain Careers in Medicine resources on Canvas.
- Implement policies for Residency Preparation Process; serve as official contact for NRMP, ERAS, AAMC, etc.
- Oversee the creation and distribution of MSPE letters , provide comprehensive ERAS guidance to students and faculty advisors, and monitor residency application statuses to ensure timely and accurate support throughout the match process.
- Manage Match Week and SOAP logistics, including student communication and record-keeping.
- Prepare analysis and reports on program progress, referencing accrediting bodies, and recommend improvements.
- Track, evaluate, and interpret metrics for advising and residency processes, and draft relevant reports.
- Collaborate with stakeholders to develop instructional materials and strategies, serve as liaison, and represent the organization externally.
- Provide administrative support to faculty advisors by coordinating and facilitating meetings, presentations, and advising activities, ensuring smooth operations and alignment with academic and program goals.

Under administrative review, perform management level work directed toward the planning, implementation and coordination of one or more programs for an association, non-profit, or similar organization. Education / Experience: Bachelor's degree and 5+ or more years of experience. Master?s Degree in Health Administration, Business Administration or related field preferred. A minimum of 3 years of experience in project management, administration or supervisory experience. Reports To: Department Head or Program Director Licensure, Certification and / or Registration: Certified project management professional preferred.
