Job Title: HIV and Program Data Specialist
Location: Flossmoor, Illinois
Employment Type: Full-time
Reports to: Director of Health and Wellness
Summary: Proactive Community Services (PCS) seeks a detail-oriented and data-driven HIV and Program Data Specialist to join our HIV Prevention and Housing Services team. This position plays a critical role in supporting the mission of PCS by ensuring the accuracy, completeness, and integrity of HIV-related client and program data across multiple systems, including Provide Enterprise and other reporting databases. The HIV and Program Data Specialist will collect, enter, and analyze data to transform information into actionable insights that drive program performance, inform strategic decisions, and ensure compliance with federal, state, and local funding requirements.
Key Responsibilities:
Data Collection & Entry
Collect and input client-level and programmatic data into Provide Enterprise and other designated databases.
Review intake forms, service logs, and case files for completeness and accuracy prior to entry.
Verify and reconcile client information to maintain up-to-date and consistent records.
Track and follow up on missing or incomplete data with program staff to ensure timely updates.
Maintain organized documentation and electronic filing of data sources.
Data Management & Quality Assurance
Manage HIV prevention, housing, and care databases to ensure accuracy, integrity, and consistency.
Conduct regular data cleaning, validation, and deduplication to support reporting and compliance.
Perform internal audits and chart reviews to ensure data accuracy and program adherence.
Implement quality assurance protocols and maintain documentation of procedures.
Ensure compliance with all data security, confidentiality, and HIPAA requirements.
Data Analysis & Reporting
Compile, analyze, and summarize client and program data to identify trends, gaps, and outcomes.
Generate routine and ad hoc reports for leadership, program teams, and external funders.
Support quarterly and annual grant reporting by preparing accurate datasets and narratives.
Assist in developing dashboards and visualizations to communicate key performance metrics.
Technical Assistance & Collaboration
Provide training and technical assistance to staff on data entry, documentation, and reporting procedures.
Collaborate with case managers, clinicians, and partner agencies to enhance data quality and completeness.
Participate in quality improvement initiatives and evaluation projects to improve program outcomes.
Support the implementation and maintenance of new data systems, tools, or reporting enhancements.
Requirements
Qualifications:
Required:
Bachelor’s degree in Public Health, Epidemiology, Data Science, or a related field.
Minimum of two (2) years of experience in data collection, entry, and management in a healthcare, public health, or social service setting.
Proficiency in Microsoft Office Suite (Excel, Word, Access, PowerPoint).
Excellent attention to detail, accuracy, and organizational skills.
Strong written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Preferred:
Master’s degree in Public Health, Epidemiology, or related discipline.
Experience with HIV data systems such as eHARS or Provide Enterprise.
Familiarity with statistical analysis software (SPSS, SAS, or R).
Experience with GIS platforms (e.g., ArcGIS) for mapping and analysis.
Experience working with diverse communities and community-based organizations.
Working Conditions:
Full-time position may include occasional evenings/weekends based on program needs/requirements, events or fundraisers.
Occasional travel to partner agencies, meetings, and training sessions may be required.
