The Data Manager oversees the design, implementation, and maintenance of the Apricot/Bonterra Case Management system, along with other organizational data platforms, to advance the mission of the Commonwealth Center for Fathers and Families (CCFF). This role ensures accurate collection, storage, analysis, and reporting of data to inform program outcomes, enhance decision-making, perform statistical analysis, and support organizational accountability.
Data System Development and Management
- Develop, maintain, and optimize databases to track program participants, outcomes, and organizational metrics
- Ensure data systems comply with confidentiality and data protection regulations, such as HIPAA, FERPA, or other relevant standards
- Collaborate with program directors, such as the Program Manager and Training Coordinator, to identify data needs and ensure system alignment with organizational goals
Data Collection and Quality Control
- Oversee the design and implementation of tools for collecting participant, program, and community engagement data
- Conduct regular data quality checks to ensure accuracy, completeness, and reliability
- Train CCFF staff on data entry protocols and ensure compliance with established procedures
Data Analysis and Reporting
- Analyze data to evaluate program effectiveness, participant outcomes, and community impact
- Prepare detailed reports and dashboards for stakeholders, including leadership, funders, and partners, highlighting key findings and recommendations
- Support grant applications and reporting by providing accurate and timely data insights
Technology and Integration
- Work with IT specialists to ensure data systems are secure, up-to-date, and integrated across platforms
- Evaluate and implement new technologies to improve data collection and analysis processes
Special Projects/Grants/Contracts
- Analyze data to evaluate program effectiveness, participant outcomes, and community impact
- Manage daily inputting of case records/notes regarding client activity via an nForm
- Ensure case data and notes are accurate and comprehensive
- Track client performance from enrollment to completion
- Attend or lead regular meetings with any special project leadership team to ensure program compliance
- Manage and track impact of support services to measure effectiveness, client satisfaction, and areas of improvement based on client input
- Serve as lead for providing data and information about program participants for monthly reports, enrollment, attendance, barriers and frequency of behavior change
- Perform additional staff duties as assigned
Compliance and Security
- Establish and enforce data governance policies to maintain high standards of security and ethical data use
- Monitor adherence to legal and contractual obligations related to data management
Requirements
Education:
- Master’s degree is preferred. Bachelor’s degree in Data Management, Information Systems, Statistics, or a related field. (An Associates or Certification may be considered if extensive experience or directly/specifically related work exists)
Experience:
- Preferred at least 3 years of experience in data management, analysis, systems development or a similar role
- General knowledge of computer applications for data collection, data reporting, and analytics
- Considerable experience with principles and practices of data entry management, quality management, and database management
- Familiarity with program evaluation methodologies and frameworks, especially in nonprofit or family-centered initiatives
Skills and Competencies:
- Preferred proficiency in database management system Apricot/Bonterra or similar Case Management system
- Strong analytical and problem-solving skills
- Experience with data visualization tools
- Excellent attention to detail and ability to manage multiple projects
- Knowledge of federal and state regulations governing data privacy and security
- Strong communication and collaboration skills to work effectively with diverse stakeholders
